Notices from PEIA Regarding Documentation for Eligibility and Changes

3/7/2011

PEIA realizes that being a Benefit Coordinator may not be your only job, but it is an important job. Your employees depend upon you to help them enroll in and manage all types of benefits.

PEIA has continued to evolve its website in an effort to streamline and make your job easier. But, as a result, you need to pay careful attention to the electronic correspondence you receive from PEIA. If you do not check your e-mails from PEIA Eligibility Staff regarding needed documentation, you may later find that an employee is not covered because the document required was not received. It is important for you to check your e-mails regularly (at least twice a week or more often) so that you can remind the employee what they need to provide. Otherwise, their coverage or change in coverage cannot be processed.

Also, by regularly checking for messages from PEIA, you can quickly learn if an employee has requested a change without a Qualifying Event so that you can explain to them why the change will have to wait until Open Enrollment.

If you have any questions about what documents are needed for eligibility, dependents, and changes in status, please refer to the chart/cover page form on Page 9 in the Forms & Instructions section of the Benefit Coordinators Reference Manual now posted on this website. PLEASE REMEMBER THAT ALL DOCUMENTATION SHOULD INCLUDE A COVER PAGE WITH THE POLICYHOLDER’S NAME AND THE LAST FOUR DIGITS OF THEIR SOCIAL SECURITY NUMBER.
